Organization saves big with Nintex alternative Microsoft Flow in SharePoint online.

Nintex workflows have been very widely used by this organization. However, when they decided to move from SharePoint on-premise to SharePoint Online, the cost of Nintex workflow for SharePoint online imposed budget restrictions. After taking all things into account they decided to go ahead with migrating existing Nintex workflows to Microsoft Flow now called Power Automate. Read on to learn more.

Business Case

A validation company was planning to migrate from SharePoint on-premise to SharePoint Online. Their existing infrastructure comprised of multiple workflow, which primarily were Nintex forms and workflows. While the initial plan was to achieve it with Nintex but, the cost of Nintex workflow for SharePoint online was substantial and they were not ready to go for it. They came to us with a request to move some of their critical workflows to the cloud with an alternative product within their budget. After through market research and multiple consultations they decided to go with Microsoft Flow.

The difficulties faced could be divided into two parts:

  • The existing workflows involved reporting KPIs, automatically renaming files in a format on upload, activity tracker etc. These were complex and needed analysis and optimization
  • Microsoft Flow comes with few limitations as it is a younger product. Replicating the Nintex workflow in Microsoft Flow required workarounds, often increasing the number of steps from a power user perspective. (business users do not feel any difference)
  • Subscription for Nintex and Flow are trigger-based. Increase in the number of steps implies an increase in triggers, and more triggers meant bigger subscription
  • Workflow analysis led to discovering certain workflow steps as redundant. We suggested edits to optimize the workflow
  • The workflows were designed to achieve the same result with Microsoft Flow will out-of-the-box only features
  • To decrease the number of triggers we decided to go ahead with Plum Sail, a third-party integration. It offers advanced SharePoint actions for Microsoft Flow
  • To maximize ROI, we suggested variation in-licenses based on usage
  • The combined cost of Flow and Plum sail offers huge cost-benefit of hundred thousand dollars over Nintex
  • Optimized business workflows
  • It is a part of the Office 365 suite so no extra licensing cost
  • Microsoft Flow offers great integration with other application

As the migration has not been completed, we do not have yet enough hindsight to draw conclusions. It is true that the technical challenges have sometimes been challenging, but i2e has always managed to find an appropriate technical alternative.

The technical challenges were indeed important, but the project will provide better integration with O365 applications and a harmonised user experience over time.
