Business case

Line managers in a large pharmaceutical organization could access Power BI reports to view various project details like project commentary, study tolerances, study changes, threshold limits and project documentation updates. However, there were no alerts being sent on important document updates, thresholds crossed, and project commentary data for individual projects.

They tried manually sending out project updates, but that was cumbersome, time consuming with critical misses. Users wanted an alert management system that sent regular and timely notices on critical project updates, documentation changes and other information related to key activities automatically with a clear view of underlining project milestones.  

They wanted a customized notification system that highlighted the impact of projects and broader application concerns. Users also wanted to manage the frequency of alerts with their preferred notification settings.  

Our Solution

After critical needs analysis, i2e solution experts set up a custom Project Control Tower (PCT) alert solution within SharePoint with Power Automate features. This enabled managers and team leaders to receive timely alerts on project updates automatically. They could view a notification screen with categories like project documentation updates, project commentary, study tolerances and study changes. This custom solution also gave them the option to regulate the frequency of alerts based on their preferences (monthly, weekly or even daily).

Additionally, a notification feature was implemented in Microsoft Outlook and Teams, allowing stakeholders to review status updates efficiently, saving time by accessing alerts directly from emails or Teams. This alert system also offered reminders like periodic force notifications every 45 days to keep managers in the loop. Customizable thresholds for alerts were set up.
